This policy explains what information Onix Accounting ("Onix", "we", "us") collects through this website and while providing bookkeeping services, how we use it, and the choices you have. Questions? Email info@onixaccounting.com.
1. Information we collect
When you book a call, we collect your name, email address, company name, phone or WhatsApp number, the plan you're interested in, any notes you add, and the date and time you choose.
When you become a client, we access the financial records needed to do your bookkeeping, such as bank and card transactions, statements, invoices, bills and payroll reports. Access is granted by you, for example as an accountant user in QuickBooks Online or through read-only bank feeds.
When you browse the site, our hosting and font providers may automatically receive technical data such as your IP address and browser type. This website does not set its own cookies or use advertising trackers.
2. How we use it
- To schedule your discovery call and send you a calendar invite and confirmation email
- To notify our team about your booking and prepare for the call
- To deliver the bookkeeping services you sign up for
- To reply to your questions and send service-related messages
We do not sell your information, and we do not use your financial data for any purpose other than delivering your service.
3. Service providers
We use trusted providers to run our business. They process data on our behalf:
- Google (Calendar, Meet, Gmail, Sheets) for scheduling, calls, email and booking records
- Cloudflare to host this website
- Intuit QuickBooks Online and your bank-feed connections, for client bookkeeping
- Google Fonts and Unsplash, which deliver fonts and images to your browser
These providers may store data outside your country. We rely on their published security and privacy commitments.
4. How we protect it
- Bank connections are read-only. We never ask for your online banking passwords.
- Access to client files is limited to the team members working on your account.
- You can remove our access to your accounting software at any time.
- We sign a non-disclosure agreement on request.
No method of storing or sending data is completely secure, but we take reasonable steps to protect your information.
5. How long we keep it
Booking information is kept for up to 24 months if you don't become a client, then deleted. Client records are kept for the length of the engagement and as long afterwards as needed to meet legal or professional obligations. You can ask us to delete your information sooner where the law allows.
6. Your choices and rights
You can ask to see, correct or delete the personal information we hold about you, or ask us to stop contacting you. Email info@onixaccounting.com and we'll respond within 30 days.
7. Children
Our services are for businesses. We don't knowingly collect information from anyone under 18.
8. Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it last changed.
